OVERVIEW
This SOP outlines the steps for including in-case samples as part of a wholesale order to a retailer. These are intended to accompany full-priced SKUs and must be processed correctly in the order system for compliance and tracking.
**Overriding the MOQ per instruction below will not trigger any case-break fee, as long as the number of units removed from the Line Item equals the amount added back as samples.**
PROCEDURE
1. Add the Full-Priced SKU
- Add the desired SKU to the order at its regular price.
- Set the quantity to include all sellable units, including the one(s) you plan to sample.
2. Adjust Quantity for the Sampled SKU
- Subtract the number of sample units from the full-priced line item’s quantity.
Example: If sending 32 units, with 2 unit as a sample, set the full-priced line to 30 units.
3. Re-Add the Same SKU for Sample Units
- Add the same SKU again as a separate line item.
- Set the quantity to match the number of sample units removed.
4. Adjust the Sample Line Pricing
- Change the unit price of this new sample line to $0.01.
⚠️ Note: A $0.01 price ensures the sample is billed minimally while remaining compliant.
5. Add Line Item Note
- In the sample SKU line item, include a note clearly stating it's a sample.
Suggested note:Line Note: Sample SKU – Included as in-case sample
Click the "Qty" field and toggle the "Override MOQ" option.
Reduce the "Qty" by the number of units that you intend to add back as samples.
**Reduced from 32 to 30**
Now, add another line item of the same SKU, toggle the "Override MOQ" again, then reduce the "Qty" to the number of units you removed from the original line item.
Next, reduce the price for the sample line items to $0.01.
Lastly, it's useful to add a Line Item Note to that sample line item to declare its purpose.
